Invoicing 101: Getting Paid on Time As a Freelancer

As a designer, you're not just the creative genius behind your work; you're also the accountant, marketer, and project manager. Ensuring that you get paid on time for your hard-earned work is crucial for your financial stability and peace of mind. In this blog post, we'll explore some strategies to help you streamline your invoicing process and improve your chances of getting paid promptly.

1. Clearly Outline Payment Terms in Your Contract

Before you even start working on a project, it's essential to have a clear and comprehensive contract in place. This contract should explicitly outline the payment terms, including:

  • Payment Amount: Specify how much you'll charge for your services or deliverables.

  • Payment Schedule: Define when and how often you'll invoice your client.

  • Due Dates: Set clear due dates for each invoice or payment installment.

  • Late Fees: Clearly state any late fees that will apply to overdue payments (see more below!).

Having a well-defined contract ensures that both you and your client are on the same page from the beginning, reducing the chances of misunderstandings later on.

2. Consider Due Dates Based on Date, Not Deliverables

Traditionally, freelancers set due dates for invoices based on project milestones or deliverables. However, this approach can lead to delayed payments, especially if clients are slow to review or approve your work. Instead, consider setting due dates based on specific calendar dates (e.g., the 1st or 15th of the month). This approach creates a predictable invoicing cycle and encourages timely payments.

3. Implement Late Fees for Overdue Payments

To incentivize clients to pay on time, it's a good practice to include late fees in your contract. Late fees should be reasonable but significant enough to motivate clients to meet payment deadlines. Be sure to communicate this policy clearly in your invoices, payment reminders and contract terms.

4. Utilize Automated Email Reminders

Chasing down late payments can be time-consuming and awkward. Fortunately, you can streamline this process by using automated email reminders. Many invoicing software, like Hopscotch, offer this feature. You can schedule friendly payment reminders to be sent to your clients as the due date approaches. This gentle nudge can be remarkably effective in encouraging timely payments.

Remember: Your time is valuable, and you deserve to be compensated for your skills and expertise. By following these invoicing best practices, you can establish a professional payment process that promotes timely payments and minimizes financial stress.
